You are a club administrator, and you are wondering how to ensure all your members join your club on SportEasy?

You have three options:

• Add your members in bulk – with or without invitation – via an Excel file

• Manually invite your members

• Allow coaches to invite their players directly to their team using team codes

An alternative solution is to create a membership collection and transfer the data received via the form into the members table, thus creating a centralised and up-to-date database thanks to your members themselves! Add your members in bulk – with or without invitation – via an Excel file

As an admin, you can add all your members in bulk to organise your club space before sending them an invitation.

1. Complete and import your file

   To do this, go to the Members page of your club space and click on Import a file with your members

2. Upload your file

   To help you build your member files, you have the option to download a template file which contains the basic columns for creating a Club member database.

3. Prepare my data

Once your file is uploaded, you need to complete the SportEasy properties and thus create a match with the columns in your Excel file.

Note: if there is a "column without match", this information will not be created in your club space.

4. Check the data to be imported

If there is an error, the spreadsheet will show you the information to correct. A drop-down menu shows critical errors and minor errors.

Profiles with an anomaly will not be saved in the squad.

Once the import is complete, you will receive a summary email with a possible error report if any data has not been imported.

5. Invite the added members in bulk

As soon as you are ready to send the invitations, simply return to the Members page and click on the envelope to invite all the new members.

They are easily identifiable by the blue colour of the email column.

Manually invite your members

1. Go to the Members tab in your club management menu (website only).
2. Then click on Add a member.
3. On the next page, you must list the information of the members you want to add. They will then receive an invitation by email to join the club.

Note, once these members have been invited in this way, you must take the time to assign them to their respective teams.

Allow coaches to invite their players directly to their team using team codes

This approach empowers coaches and allows them to get to grips with SportEasy if they are not yet familiar with the app. It is explained in detail in this other tutorial article.

This is probably the best solution if your club has already been using SportEasy for several months/seasons. You have nothing to do as the club admin. However, you can manage the accessibility of this invitation method – team codes – within your club.

• In the Member tab, in the Settings, you need to select Manage member addition.

   

  The admin can choose which role has access to the invitation link and code for all the teams in their club.

  

It is now possible for admins and coaches to generate a new invitation code.

• The new invitation links and codes generated will invalidate the old ones but will not affect the squad.

  On a computer, simply go to a Team, in the Member tab then Add a member and click on the Share the link or code to join the team option to access the generation action.

  

  On the app, simply go to the Members tab, then click on + and click on the generation action.
