This feature allows you to ask your members for the reason of their absence from an event and to identify excused absences.
For coaches
How do I enable the withdrawal reason?
When creating or editing an event, you can enable the “Request a reason” option.
When this option is enabled:
A reason is required if a member selects Absent.
A reason is required if a member changes their status from Present → Absent.
No reason is required if the default status is Not registered (unless the member registers and then withdraws).
How can I modify this configuration?
Before the event date
You can enable or disable the “Request a reason” option and choose whether to enable or disable “Receive a notification.”
If you disable the reason request:
Reasons already provided will be hidden from the match sheet.
They will remain stored in the system.
If you disable notifications:
Coaches will no longer receive notifications when a member withdraws.
Please note that this option is enabled by default.
If you re-enable an option:
It will apply only to new withdrawals and absences.
After the event date:
These settings can no longer be modified.
Where can I see the reasons?
Before the event
Go to the Attendance section of the event page.
The reason appears next to members marked as Absent.
After the event
Members who provided a reason appear as Excused absentees.
Changing a member’s attendance status
You can modify a member’s attendance status even if they have provided a reason.
In this case:
The reason will no longer be displayed on the match sheet.
The unavailability remains saved in the member’s profile.
For members
When do I need to provide a reason?
A reason is required if:
You select Absent
You change your status from Present → Absent
How do I provide my reason?
A pop-up window opens automatically.
You will need to:
Select a reason:
Vacation
Sick
Injury
Other
Add details:
Minimum 10 characters
Maximum 200 characters
You can also check “Indicate a multi-day unavailability” to record a period of absence.
Can I change my choice?
You can modify your attendance status before the event starts.
A one-time reason can only be edited before the event.
If you indicated an unavailability period, it remains saved in your profile.
Who can see my reason?
Coaches can see your reason.
Other team members cannot see it.
You can view your own absence/withdrawal reasons in the absentees list.
