Archive, reinstate or remove club members - 🖥️

You are a club administrator and you wish to tidy up your club's squad (or certain teams within the club).

You may need to:

• Archive a member because they have left the club
• Manage your archived members to reinstate or permanently delete them
• Remove a person who is no longer a member of a team, but is still a member of the club

Be aware that by archiving members, you will save money on your CLUB subscription, thanks to credits that are automatically calculated in your favour (😍).

Archive a member because they have left the club

Some members are no longer part of your club this season, or will leave next season?

You need to archive them from your club's squad.

They will then automatically be removed from the squads of all the teams they were part of and will no longer be included in your billing.

To do this you need to:

1. Go to the Members tab in your club menu (web application only)

2. Select the member(s) you want to remove

3. Click on the Actions button (top left of the squad table)

4. Click on Archive this/these member(s)

5. Choose to archive the member. 

WARNING : 

• If you wish to archive members who are leaving your club next season, it's best not to archive them straight away. Wait until your club's new season starts on SportEasy before archiving them. This way, they will still have access to the application to finish the current season.

• If you get an error message when you try to archive or remove a member, check if he or she is an admin. You must first remove this status before you can archive and remove them. 

Manage your archived members to reinstate or permanently delete them

Access the management of your archived members to decide whether to reinstate or permanently remove a member from your database.If you put them back in the club then you can once again assign them roles at club or team level.

If you remove the member then they will no longer be stored in your database. 

💡 Please note: an archived member retains all their statistics linked to events they have participated in and will not be removed from past events. A deleted member loses all their data.

Remove a person who is no longer a member of a team, but is still a member of the club

Some members are no longer part of a club team, but remain club members, and may potentially join another team later this season (or next season).

You need to remove them from that team's squad. This action can be performed by any coach of the team, directly in that team's squad. But as a club admin, you can choose to do it instead. To do this you need to:

1. Go to the Team tab in your club menu (website only)

2. Select the member(s) you want to remove

3. Click on the Actions button (top left of the squad table)

4. Click on Remove from a team

5. If these people are members of several teams, these will be listed: you will need to select only the team(s) from which you want these members to be removed from the squad.
